What a vehicle rental agreement should cover
A written agreement protects both sides when something goes wrong — a scratch, a late return, a traffic challan that arrives weeks later. This car and bike rental agreement format covers:
- Parties and IDs: your business, the renter, and the renter's driving licence number.
- Vehicle condition: registration number, odometer and fuel at pickup, and space to note existing damage.
- Charges: rent, km limits and extra-km rate, late charges and the security deposit.
- Renter's duties: who may drive, no subletting, no illegal or reckless use, reporting accidents.
- Damage, fines and tolls: who pays, including challans received after the rental ends.
- Disputes: which city's courts have jurisdiction.
Print two copies, sign both, and give one to the customer. Keep the pickup photos with your copy. Stamp duty on agreements is set by each state, so ask a local advocate whether your agreements need stamp paper.
This is a general template, not legal advice. Have it reviewed by an advocate for your state before relying on it.
Faster than paper
With RentalNow, every rental already records the customer's licence number, the odometer at pickup and return, the deposit and the charges — and the bill goes to the customer on WhatsApp when the vehicle comes back. See bike and scooty rental software or the guide to starting a car rental business.
